The Documentation Specialist is responsible for:
Prepare, distribute and store accurate and timely Customer and Supplier documents for projects, as per the company’s/project’s procedures and ensuring effective version control and status tracking.
Are responsible for:
the setup of project and tender structure for document storage.
ensuring that project documentation is collected, compiled, printed, and sent to the customer.
that Sub Supplier documentation is received on time and distributed to the projects.
the support of the PDC & xECM.
supporting the tender team with the correct documentation cost.
Job Description of Documentation Specialist
Should have experience in contract reading and understand the Customer documentation requirements.
Analyze & Upload the Drawing files, Manuals, Test Reports, Calculations, etc. from Engineers and the Sub Suppliers
Upload the documents into the Document Management System (DMS)
Maintain the complete Project Documentation Status
Communicate with Project Manager and Departments for clarifications and suggestions.
Proper follow-up with other departments to submit the documents.
Distribute the documents to various departments for Review & Approval
Send the documents by Transmittal for Customer Review & Approval
Adding the documents into e-Room (web-based database, Easy access for the members in different locations)
Organize the files in a folder structure in the softcopy Binder.
Print out the drawings as hard copies and insert them into binders, if needed (This is the installation and Final Plant Documentation) and send it to respective sites.
Check & Upload updated drawing files (updated due to possible changes during the installation on-site) and all the above steps will be followed for new revisions, As-Built documents are printed out as hard copies and insert into binders and send to respective sites (This is the As-Built Documentation)
When the Customer Approved the As-Built Documentation, the Project hand over to the After Sales department.
Ability to communicate effectively and understand the other requirement.
Should have strong knowledge in MS Excel, Word, and PPT.
Should be a team player.
Should have good experience in preparing a report and maintaining the record.
